location data collected in line with your device permissions (for example “while in use” and, for active chauffeur duty on supported platforms, via a foreground location feature with a persistent notification). 1. Who we are
Chauffix (“we,” “us,” “our”) operates a chauffeur service platform that connects vehicle owners with professional drivers (chauffeurs) in Kenya. This Privacy Policy applies to our website, mobile apps, and related services.

Depending on how you use Chauffix, we may collect or receive:
- Account and identity data: name, phone number, email address, profile details, user type (owner, driver/chauffeur, staff where applicable)
- Verification data: identity documents, driving licence and vehicle documentation (for drivers/chauffeurs and owners as required for verification)
- Location data: precise or approximate device location—see Section 4
- Booking and trip data: pickup and destination information, trip status, timing, ratings, and support messages
- Payment data: transaction references and payment method details processed via secure payment providers (we do not store full card numbers on our servers where a processor handles them)
- Communications: messages you send us through support or in-app channels
- Device and technical data: device identifiers, app version, operating system, logs related to security and diagnostics, and similar technical metadata
- Push notification tokens: if you enable notifications, tokens used to deliver alerts to your device
4. Location data
Chauffix uses location information to operate a proximity-based chauffeur marketplace. This section explains what we access, when, and why, including how we align with foreground (“while in use”) location and foreground location services on mobile—rather than separate “all the time” / Android background location permission for our standard app experience.
4.1 What we collect
- While you are actively using the app: precise or approximate location when the application is open or in active use, as allowed by your device settings (often described as location “while using the app” or foreground access).
- For chauffeurs/drivers who turn on duty or live tracking: on supported platforms we use a foreground location session that shows a persistent, visible notification (for example on Android) so the app can continue receiving location updates during an active shift when you are not viewing the app—such as when another app is open or the screen is off—using the location permission you granted for the service, without requiring Android “all the time” background location permission for that standard flow.
- Owners and passengers: we may collect location associated with booking pickup, trip tracking, or safety features as described in the app.
4.2 How we use location data
- To show which chauffeurs are near an owner and to support matching and dispatch
- To operate live availability and proximity-based features that rely on a chauffeur’s current position
- To support trip progress, estimated arrival, and safety-related features during an active service
- To improve reliability of the service (for example, reducing failed matches due to stale location), subject to our legitimate interests and applicable law
Without access to chauffeurs’ current or live location during active duty—including updates delivered through an ongoing foreground session when the chauffeur is not looking at the app—owners may be unable to find or be matched with a chauffeur within practical proximity, because proximity discovery depends on up-to-date driver position.
4.3 Your controls
You can review and change location permissions and notification settings in your device settings. Ending chauffeur duty or stopping tracking in the app (and dismissing or stopping the foreground session where applicable) stops that ongoing collection path. If you deny location access, some features (such as nearby matching for drivers or trip tracking) may not work fully or at all. You may withdraw consent for optional processing where we rely on consent, subject to any ongoing legal or contractual need to retain certain records.

- To create and manage accounts and verify users
- To provide, operate, and improve the Chauffix platform
- To process payments and handle disputes
- To communicate with you about the service, security, or legal matters
- To comply with legal obligations and respond to lawful requests
- To protect the safety and integrity of users and the platform

We process personal data in line with the Data Protection Act, 2019 of Kenya, including where applicable:
- Performance of a contract (providing the service you request)
- Legitimate interests (securing the platform, preventing abuse, improving the service), balanced where required
- Consent where we ask for it (for example, optional marketing or specific permission-based features)
- Legal obligation where the law requires processing or retention
7. Sharing of information
We may share personal data with:
- Other users as needed to fulfil a booking (for example, limited trip and location information relevant to service delivery)
- Service providers (hosting, maps, communications, payment processors, analytics where used) under contracts that protect your data
- Authorities when required by law or to protect rights and safety
We do not sell your personal information.
8. International transfers
If we transfer data outside Kenya, we will use appropriate safeguards as required by applicable law (such as contractual clauses or adequacy mechanisms).
9. Retention
We keep information only as long as needed for the purposes above, including to provide the service, meet legal or tax obligations, resolve disputes, and enforce our agreements. Retention periods may vary by data category.
10. Security
We use technical and organisational measures designed to protect personal data, including encryption in transit where appropriate, access controls, and secure development practices. No method of transmission over the internet is completely secure.
11. Your rights
Under the Data Protection Act, 2019, you may have rights to access, rectify, erase, restrict, or object to certain processing, and to withdraw consent where processing is based on consent. To exercise these rights, contact us at the email above. You may also lodge a complaint with the Office of the Data Protection Commissioner (Kenya).
12. Children
Our services are not directed at children under 18, and we do not knowingly collect their personal information.
13. Changes
We may update this Privacy Policy from time to time. We will post the updated version on this page and may notify you through the app or by other appropriate means where changes are material.
